# Is it safe for a contracting or engineering firm to use ChatGPT for proposals without leaking internal pricing?

It depends on the plan and what you upload. OpenAI's Enterprise Privacy page (updated Jan 8, 2026) and help center (both checked 2026-10-16) say ChatGPT Business (formerly Team), Enterprise and API data isn't used for training by default, while Free, Plus and Pro may be used unless you turn off "Improve the model for everyone." Even after opting out, rating a response can allow training on that conversation, and API data may be retained up to 30 days. Automating proposals almost always means feeding in internal pricing, so plan for that rather than hoping to avoid it.

Practical setup for a small firm: keep proposal templates and past winning proposals in a local document workspace ([AnythingLLM](/tools/anythingllm) with [Ollama](/tools/ollama), or [Open WebUI](/tools/open-webui)). Draft with the local model, and send only non-sensitive text to a cloud model if you need stronger writing. Write a one-page AI policy: which tools are approved, what may never be uploaded (pricing, client personal data, NDA material), and who reviews output. Free and local tools are listed in [Local AI](/section/local-ai) and [Best free AI tools for contractors](/best/free-ai-tools-for-contractors).
